As a Receptionist, you will be the first point of contact for our client and you will welcome guests and contractors. You will also support the organisation with office requirements and coordinate front-desk activities, including distributing post, booking meeting rooms, hospitality and couriers.


- Provide the first line of response for callers and staff seeking information

- Greet and welcome visitors and contractors on site, inform their host in a timely manner

- Issue visitor passes and security access when required

- Ensure Environment, Health and Safety (EHS) Inductions are performed and recorded; maintain an active list

- Daily, first thing in the morning, ensure the reception area, kitchen, meeting room and tea room are kept in a good condition with adequate supplies

- Raise work requests for any office and building maintenance faults

- Co-ordinate with IT and Managed Print Programme (MPP) for site requirements/issues. Ensure they are reported and resolved in a timely manner

- Point of contact for reception systems (CCTV, access control, telephones)

- New starter processing; including taking photos of all new starters for their security access and liaising with Security, issue welcome packs, locker keys, and temporary access

- Manage and sort all incoming and outgoing mail

- Book couriers in a timely manner

- Administer the use of the site pool vehicle, including booking of hire vehicles when required. Managing the booking of MOTs/services/required maintenance and cleaning

- To undertake Environment, Health and Safety (EHS) training to perform responsibilities as required


- Arrange and coordinate teleconferences and internal/external meetings; book meeting rooms, equipment, and hospitality, gather materials, etc.

- Managing office consumables stock levels and replenishing stock as and when required

- Carry out administration duties as requested by other divisions in the business

- Maintain site capacity metrics, produce monthly absence reports and arrange return to work interviews, when required

- Liaise with EHS and external vendors for all site EHS training

- Maintain and update EHS tracker, which includes traceability for site workplace inspections, accidents/incidents and safety observations

- Liaise with the Company’s occupational health provider for site health surveillance appointments, schedule recalls and arrange other appointments as required

- Provide additional administrative support to the Maintenance department in CMMS (MP2) administration and assist with any other reasonable activities required

- Comply with safety regulations and conduct all activities in compliance with company policies and Standard Operating Procedures (SOPs)


- Excellent interpersonal skills and telephone etiquette

- Good administrative and IT skills, including experience of Microsoft Office and email

- Prior experience of working in a reception/office environment is essential

- Ability to show own initiative, logical thinking and creative problem solving in response to day-to-day situations

- Adaptable, flexible and proactive, with the ability to pre-empt the team’s needs

- Ethics and integrity, awareness of compliance requirements and maintaining confidentiality
